Why Time-Blocking Can Feel Like a Buzzkill

Traditional time-blocking is like forcing yourself into a rigid box that doesn’t account for real life. It tells you to plan every second of your week in advance and stick to it, no matter how you’re feeling that day. Sound familiar? Yeah, I’ve been there too. And spoiler alert: it didn’t work.

When I first started experimenting with time-blocking, I felt overwhelmed. My energy changes by the day (sometimes by the hour!), and planning a whole week in advance made me feel trapped. But then, I flipped the script and created a system that lets me honor my energy in real time—and it’s been a total game-changer.

Step 1: Log Your Time Like a Boss (AKA: The 2-Week Experiment)

Before you can build a schedule you love, you need to know how you’re spending your time right now. For two weeks, I tracked EVERYTHING I did. And I mean everything. Here’s how it worked:

  • If I spent 15 minutes chatting with my mom, it went on the calendar.

  • If I took a coffee break, it went on the calendar.

  • If I worked on client projects, scrolled Instagram, or ate lunch, it all went on the calendar.

The key? I only added tasks to my calendar after I did them. This gave me a crystal-clear picture of how I was actually spending my days—no judgment, just facts. And let me tell you, seeing all that data laid out was mind-blowing. I could finally see:

  • When I was most creative

  • When I naturally gravitated toward admin work

  • How long tasks actually took me (spoiler: way longer than I thought)

This two-week experiment was the foundation for creating a system that fits me like a glove.

Step 2: Build a Time-Blocking System That Honors Your Energy

Here’s where we flip time-blocking on its head. Instead of pre-scheduling every minute of your day, you track your tasks after you complete them. Here’s how it works:

  1. Start with a Weekly To-Do List
    At the beginning of the week, jot down everything you need to accomplish. This is your roadmap, not a strict schedule.

  2. Wake Up and Tune In
    Each day, look at your list and ask:

    • What needs to get done today (because of deadlines)?

    • What do I feel like doing today?

      This lets you align your tasks with your energy levels.

  3. Log It After You Do It
    Once you complete a task, add it to your calendar. For example:

    • If you create social media posts from 1:30 to 3:00 PM, log it as a task block afterward.

This method removes the pressure of sticking to a rigid schedule while still keeping you organized and productive.

Step 3: Use the Data to Level Up

After a couple of weeks, you’ll have a treasure trove of insights about how you work best. Use that data to:

  • Optimize Your Schedule
    You’ll start to notice patterns—like when you’re most creative or when you need breaks. Use this info to structure your days in a way that flows naturally.

  • Adjust Your Pricing
    Tracking your time will show you exactly how long tasks and projects take, including admin work, communication, and revisions. This clarity helps you price your services in a way that reflects the real time and energy you’re putting in.

  • Plan Your Capacity
    When you see your calendar filling up with no blank space, it’s a sign you’re maxed out. This might mean it’s time to raise your rates, outsource, or rethink your workload.

Step 4: Make It Pretty and Personal

Now for the fun part—turning your calendar into a vibe! If it’s not cute, I’m not looking at it, and I bet you feel the same. Here’s how to make your calendar a masterpiece:

  1. Color Code Everything
    Assign colors to different tasks, clients, or areas of your life. For example:

    • Pink for your business tasks

    • Purple for personal time

    • Branding colors for each client

  2. Add Emojis for Fun
    Spice up your entries with emojis! A little 🍔 for lunch, ✈️ for travel, or ✨ for creative work can make your calendar way more inviting.

  3. Combine Work and Life
    Keep everything—work and personal—on one calendar. This gives you a bird’s-eye view of your work-life balance and helps you make adjustments when needed.
